Data Cleaning for Charities

Protect donor trust with a clean supporter database

Fundraising is now scrutinised by three regulators - the Fundraising Regulator, the ICO, and the DMA - and every one of them cares about the same thing: clean, current, consented contact data. Data Soap screens your supporter list against every UK preference register in a single upload.

The three things keeping charity data leads awake

Donor list decay is brutal

Supporter databases decay at 22-30% per year. By month 18 your warm appeal list is colder than the cold list you bought.

Fundraising Regulator complaints

Misdirected appeals to MPS-registered, deceased or moved supporters drive the biggest single complaint category to the Fundraising Regulator.

£17.5m ICO fine cap

Charities aren't exempt. The PECR/UK GDPR cap is now £17.5m or 4% of global income, whichever is greater. Trustees notice numbers like that.

Data Soap services for charities

MPS - Mailing Preference Service

Strip MPS-registered addresses from your direct-mail appeal before it goes to print. Same balance, drag-and-drop upload, results back the same day.

TPS & CTPS for tele-fundraising

If you call supporters or buy lists for cold tele-fundraising, you must screen against TPS and CTPS every 28 days. The Fundraising Regulator and ICO both expect to see the audit trail.

Email Verification

Catch typos and dead inboxes before your next appeal. Protects your sender reputation across major inbox providers and avoids spam-folder placement.

PAF Address Validation

For Gift Aid declarations and direct-mail accuracy. PAF validation removes moved-away and deceased records, and standardises addresses to Royal Mail's live file.

FAQs

Do I have to screen against the FPS (Fundraising Preference Service)?

Yes - if a supporter has registered with the FPS to stop direct contact from your charity, you must comply within 28 days. Data Soap can fold FPS suppression into the same workflow as your MPS, TPS and CTPS screening so it's one upload, not four.

How often should I clean a donor database?

Before every major appeal at minimum, and quarterly as a baseline. The Fundraising Regulator expects to see an active maintenance schedule.

Does GDPR Article 5 apply to legacy supporter data?

Yes - the accuracy principle applies to every personal data record you hold, including supporters acquired decades ago. See our Article 5 explainer.

Will this work with Salesforce NPSP, Raiser's Edge, Donorfy etc?

Yes - Data Soap's REST API plugs into any modern fundraising CRM. We've worked with Salesforce NPSP, Raiser's Edge, Donorfy, ThankQ, Beacon and bespoke supporter databases.
